Your privacy.
Our responsibility.

This Privacy Policy explains how Xpert Property Solutions ("we", "us", "our") collects, uses, stores and protects your personal data when you visit our website, request a quote, or use our services. We are committed to protecting your privacy and handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

Xpert Property Solutions provides property handover services across West London, including inventory reports, carpet and upholstery care, fire/gas safety and EICR certificates, and exterior cleaning. For any privacy-related questions, you can contact us using the details in the "Contact us" section below.

2. Information we collect

We may collect and process the following types of personal data:

• Contact details — your name, email address, phone number and property address, provided when you request a quote or get in touch.
• Service information — details about the property and the services you ask us to carry out, including inventory and condition records and photographs taken as part of a report.
• Correspondence — any messages, emails or notes exchanged with us.
• Technical data — your IP address, browser type, device information and how you use our website, collected automatically through cookies and similar technologies.

3. How we use your information

We use your personal data to:

• Provide quotes and deliver the services you have requested.
• Communicate with you about bookings, appointments and follow-ups.
• Produce and store inventory and condition reports, which may be used to help resolve deposit disputes.
• Process payments and keep accurate business records.
• Improve our website, services and customer experience.
• Meet our legal, regulatory and insurance obligations.

4. Legal basis for processing

We rely on the following legal bases under UK GDPR:

• Contract — to carry out the services you have asked us to provide.
• Legitimate interests — to run and improve our business, respond to enquiries and keep records.
• Legal obligation — to comply with tax, accounting and safety requirements.
• Consent — where you have agreed to receive marketing communications. You can withdraw consent at any time.

5. Sharing your information

We do not sell your personal data. We may share it with:

• Landlords, letting agents or tenants where this is necessary to deliver a service (for example, sharing an inventory report).
• Trusted service providers who support our business, such as IT, payment and scheduling providers.
• Professional advisers, insurers or authorities where required by law.

Any third parties we work with are required to keep your data secure and use it only for the purposes we specify.

6. Cookies

Our website may use cookies and similar technologies to help the site function, remember your preferences and understand how the site is used. You can control or disable cookies through your browser settings, though some parts of the site may not work as intended without them.

7. Data retention

We keep your personal data only for as long as necessary to fulfil the purposes set out in this policy, including any legal, accounting or reporting requirements. Inventory reports and related records may be retained for an extended period so they remain available in the event of a deposit dispute.

8. Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate or incomplete data.
• Request erasure of your data in certain circumstances.
• Object to or restrict our processing of your data.
• Request a copy of your data in a portable format.
• Withdraw consent where processing is based on consent.

To exercise any of these rights, please contact us using the details below. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Data security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or disclosure. While we work hard to safeguard your information, no method of transmission over the internet is completely secure.

10. Changes to this policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.
